Settings For Apply Customer Ledger Entries Batch

This batch job is part of the Payments Ahead module, but it can also be used to match any customer entries (the use of the task does not depend on turning on/off the Payments Ahead module). The task requires the following settings:

Customer Card

Payments tab

  • Field Application Method = Manual

    • In order to be able to match items according to the set matching parameters, the standard field Application method = Manual must be set on the Payments tab.

Automatic Apply Tab

  • Field Automatic Apply

    • Options: Yes / No

    • Flag that determines whether this customer will be included in the Automatic Customer Entries Apply batch job

  • Field Manner Type of Apply by Field

    • Election

      • Insequence

        • This option specifies that the batch job will match gradually according to the individual features of the alignment. The task first tries to match Customer Ledger Entries according to Matching Symbol 1 (e.g. according to Variable Symbol) and matches the matching items. If items fail to match according to Apply Field 1, they will try to match them according to Apply Field 2 (e.g. according to Dimension 2 = according to Contract Number), etc.

      • Together

        • This option specifies that the batch job matches customer ledger entries that meet all of the set "application characters" at the same time. (E.g. matching by variable symbol and amount)

  • Field Apply Signs (1-8) (Apply by Field)

    • Up to eight "Apply Signs" can be set for a given customer: 

      • Apply by Field 1

      • Apply by Field 2

      • Apply by Field 3

      • Apply by Field 4

      • Apply by Field 5

      • Apply by Field 6

      • Apply by Field 7

      • Apply by Field 8

    • Each Apply By Field contains 10 values. The values in all Apply Signs 1 through 8 are the same, so you can set any combination and order you want.

      • (Blank) (Blank)

        • If the apply character is empty, then this character is not taken into account

      • Document No.

        • Items are matched by Customer Ledger Entry Document No.

        • This option is usually not used, it can only be used in specific cases

      • External Document No.

        • Items are matched according to the External Document No. on the customer ledger entry.

        • The external document number is not typically used on sales documents

      • Amount

        • Entries are matched according to the original posted amount

        • E.g. a receivable of €1000 with an unpaid balance of €200 will not be matched with a payment of €200 in this setting!

      • Amount with Tolerance

        • Items are matched according to the original posted amount, and a payment that differs from the original amount of the paired invoice up to the set variance (in the given currency) is also matched

      • Dimension Value 1

        • There are matched entries that contain the same values for Global Dimension 1

      • Dimension Value 2

        • There are paired items that contain the same values of Global Dimension 2 (Contract No. Matching)

      • Currency Code

        • With this setting, items that have the same currency are matched

        • If matching in the same currencies is enabled in the Sales and Receivables settings (this setting is recommended for OneCore solutions, i.e. for leasing companies) and the customer is not set to match by currency, then if items in different currencies are found for matching (e.g. according to VS match), the pairing of items in different currencies will be terminated by an error message, which is written in the log. Matching of the given customer will be terminated and the task will continue by matching the next customer.

      • Remaining Amount

        • Items are matched according to the item's current balance. For example, a receivable of €1000 that has a balance of €200 after partial payment is paired with a payment of €200

      • Remaining Amount with Tolerance

        • Items are matched according to the current balance of the item, and a payment that differs from the current balance of the paired invoice up to the amount of the payment difference (in the given currency) is also matched

      • Variable Symbol

        • There are paired items that contain the same variable symbol

Note: The variable symbol is available for CZ and SK legislation

On existing customers, it is possible to add or change the settings in bulk using a batch job Set Customer Applying Params

The task is available by searching through the magnifying glass. In the dialog box, specify the required parameters:

  • Bookmark Options Tab)

    • Replace

      • Completely overrides the settings on the customer cards with the new setting that is entered on the Characters tab

      • Cannot be turned on if the Add Apply by Characters flag is already enabled

    • Add missing values

      • This option is mainly used to add another pairing parameter. 

      • If the "Apply Character" on the Customer Card is empty, then it completes the value entered for the given character on the Characters tab

      • Cannot be turned on if the Replace flag is already on

  • Bookmark The characters (Values Tab)

    • Automatic Apply options

      • Yes / No

    • Type of Apply by Field options

      • Insequence

      • Together

    • Eight fields for Apply by Field options 

    • The meaning of each parameter on the Characters tab is described above in the Customer Card settings

  • Bookmark Filter: Customer Tab)

    • Here it is possible to select specific customers for whom the automatic leveling setting on the Customer Card should be overwritten or supplemented.

    • If no filter is entered, the set matching parameters will be filled in for all customer cards 

After confirmation OK The task replaces or adds to the settlement parameters on the customer cards. If no option is enabled on the Options tab, the task does nothing.

Customer Template

The same fields for automatic matching as on the Customer Card can also be set on the Customer Template. If the fields on the template are filled in, then the system will copy them to the Customer Card when it is created. Filling in the fields on both the Customer Card and the Customer Template is optional.
