Using the wizard, we can create a contact, customer, supplier at the same time, then the user can fill in the necessary information on the created contact, customer, supplier cards.

The wizard can be opened by the OneCore - Financing or OneCore - Financing (all products) centers.

From the Contacts list, choose New – Create Partner.

By clicking on the Create Partner icon, it is necessary to set what entities you want to create. The wizard itself consists of 4 steps. The displayed fields in each step are displayed, hidden, or non-editable according to the selection of the type of entity being created:

  • Business partner registered as Company Type on the card

  • Contact person on the card registered as Type Person

Step 1:

Field:

  • Type

    • To indicate the type of contact you wish to create, the options:

      • Business Partner – A contact of the company type (e.g.: Customer/Supplier)

      • Contact person – Person type contact

        • It is a contact that is identified in the OC as a private person, e.g. an employee of the customer. (it is not possible to create a customer/supplier when creating a contact person, see chapter: "Person type contact").

  • Contact

    • An invisible hidden field is always checked and cannot be edited. A contact is always created when using the wizard

    • non-editable field

  • Customer

    • Default value: Yes

    • Indicate whether you want to create a customer along with the contact

    • Optional Field

    • We can only create a customer for Type = Business Partner

    • If the user leaves the value = Yes and then chooses the Contact Person Type, the field is hidden and the fields "Business Partner No." and "Business Partner Name" are displayed

    • If the user changes the value again from Contact Person Type to Business Partner Type, the field appears and the user has to click on what they want to create

  • Vendor

    • Default = No

    • Indicate whether you want to create a vendor along with the contact

    • Optional Field

    • We can only create vendors for Type = Business Partner

    • For the Contact Person type, the field is hidden

  • Business Partner No.

    • The field is visible and editable only when Type = Contact person is entered

    • A contact person card can be created without assigning it to a specific company, or it can be assigned to a specific company by entering a Business Partner Number. (contact company numbers)

    • If a contact is entered without assigning it to a specific company, it is sorted at the top of the list in the contact list

    • If a contact person is assigned to a specific company, the contact is stored under his or her company in the list

  • Business Partner Name

    • Non-editable field

    • If the user selects the company number in the Business Partner No. field, the name of the company is followed by the number for the user's information.

Then use the Next button to move on to step 2.

In step 2, fields are displayed and visible and editable depending on whether Contact Person or Business Partner is entered in the Type field in the previous step.

Step 2 for Type = Business Partner:

Field:

  • Country/Region Code

    • Required field

    • By default, set to a country code, as set in the Company Information table in the Country/Region Code field

    • field first, because contact authentication (ARES. VIES) and only relevant Cities and Post Codes are filtered

  • Registration No. (Registration No.)

    • Optional field

    • After entering a value in a field and navigating to another field, the IR verification function starts:

      • If the function of connection to IR verification is running in the IR Verification Service Settings table:

      • In this way, the ID is verified and subsequently:

        • If the ID number is not correct (the OC can currently verify only in the Czech Republic via the ARES system), the system displays an informative message: "We did not find a match for this number. Verify that you have entered the correct number."

        • If it is correct (it exists in the Czech Republic), some data can be automatically downloaded:

          • Which data is downloaded to the wizard is determined by the user, who receives individually or all of the information that is displayed after verification of the ID number:

          • By pressing the Accept button, the wizard can download the values from the "Response" field only from the selected row

          • By clicking on the Close button, all displayed values from the Response field will be downloaded to the wizard after clicking on the Close button

  • VAT Registration No.

    • In the case of Verification of Registration Number, after entering the value so in the Registration Number, the value of the VAT Registration No. will be completed if the VAT number integration is sent and the VAT Registration No. will no longer be verified by the Tax Identification Number Verification Service (VIES) if it is triggered

    • If the user fills in the VAT number value in the field and the VAT verification check by the VIES service is running, the system displays a card or a message:

      • When the VAT number is found

      • If you want to automatically download the Name into the wizard, you need to click on the "Accept" button

      • Notification!!! - Do not use the Accept All button after BC20 update. The entire address would be pasted into the Address field. It is not possible to split the text into wizard fields.

      • If the VAT number is not found, the system will display a message: "We did not find a match for this number. Verify that you have entered the correct number."

      • If the VAT number is already entered in the system, the system will display the message: "This VAT number has already been entered for contacts: KT000008"

      • When the VAT number for the specified country is entered in the wrong form in the Country/Region Code field, the system displays a message (example for SK):

      • VAT number formats for individual countries are set by the user in the VAT Formats table, which the user can access as follows:

        • Country/Region Table

          • VAT Registration No. Formats

  • Name

    • Company Name

    • Required field

  • Address

    • The name of the street (municipality) together with the street (house) number

    • Required field

  • City

    • Specifies the city (municipality) in which the contact is based

    • Filtered to Country/Region Code

    • By clicking on it, the user opens the Postal Code Codes table, from where he selects the City

    • When selected, the zip code entered in the Code field is also filled in

    • If the user enters a city description in a field and there is more than one city in the Postcode Code list, then after clicking on the next field, the user will see a filtered list of Cities for that inserted description and the user will select the correct zip code for that city

      • If there is only one value for a given description, the postal code is automatically inserted into the postal code field

    • The user can also enter a value that is not in the list into the field and the OC will accept the value

    • Required field

  • Post Code (Post Code)

    • Specifies the contact's postal code

    • If the user selects a city, the zip code will be finalized automatically

    • If the City field is blank and the user enters a postal code, the City field is also populated

    • Required field

    • If the user enters a postal code in the description field and there are multiple cities for that zip code, the OC will display a filtered list of these cities, and the user will select the correct one

    • The user can also enter a value that is not in the list into the field and the OC will accept the value

  • Legal Form Code

    • Required field

    • The user selects a legal form by clicking on the list from the Legal Forms table

  • API Legal Subjectivity Code

    • Required field

    • Legal Personality of Contact (E.g. Limited Liability Company)

    • To enter the code, the value of the Legal Form Code field must be filled in, which is then used to filter only legal subjectivity lines for that legal form

Step 2 for Type = Person:

Field:

  • First Name

    • Specifies the name of the contact

  • Surname (Surname)

    • Specifies the straightness of the contact

  • Name

    • Required field

    • You need to fill in one of the First Name or Last Name fields

    • Non-editable field

    • The value in the field is composed of the values in the First Name + Surname fields

Address Information

  • Country/Region Code

    • If the Business Partner No. field is not filled in in step 1, the country code is inserted into the field, according to the settings in the Company Information table in the Country/Region Code field

    • If the Business Partner No. field is filled in in step 1, the country code is inserted into the field according to the current company reg. address and the field is non-editable

  • Address

    • Optional field

    • The name of the street (municipality) together with the street (house) number

    • If the value in the Business Partner No. field is filled in in step 1, the address will be filled in automatically according to the current company reg. address and the field will not be editable

  • City

    • Optional field

      • Specifies the city (town) in which the contact has its headquarters

    • If the value in the Business Partner No. field is filled in in step 1, the address will be filled in automatically according to the current company reg. address and the field will not be editable

  • Post Code (Post Code)

    • Optional field

    • Specifies the contact's postal code

    • If the value in the Business Partner No. field is filled in in step 1, the address will be filled in automatically according to the current company reg. address and the field will not be editable

  • Legal Form Code

    • Required field

    • The user selects a legal form by clicking on the list from the Legal Forms table

  • Legal Subjectivity Code

    • Legal subjectivity of the contact (e.g. natural person, non-entrepreneur)

    • To enter the code m., the value of the Legal Form Code field must be filled in, which is then used to filter only the legal subjectivity lines for the given legal form

Step 3 for Type = Business Partner

Fill in contact information

  • Mobil (Mobile No.)

    • Mobile number to communicate with companies

  • Phone No.

    • A phone number to communicate with companies

  • E-mail (Email)

    • Contact e-mail to communicate with the company

Fill in the registration information

  • Register

    • Options: Commercial Register, Trade Licensing

  • Place of Jurisdiction / District Office

    • For Company Type – Place of Registration

  • Section, Insert/ Trade Reg. No.

    • If it is provided, the user can write according to the extract of the register

Step 3 for Type = Person

Fill in contact information

  • Mobil (Mobile No.)

    • Mobile number for communication

  • Phone No.

    • Phone number for communication

  • E-mail (Email)

    • Contact e-mail for communication

Step 4 for Type = Business Partner

In step 4, the user selects Templates for the customer or supplier. Templates make it easy to automatically fill in the information on the customer card or vendor card. (chapter Customer Template, Vendor Template) If you click in step 1 that a customer/supplier should be created and the user does not select a template, the system will warn you: "You need to select a customer/supplier template!"

Step 4 for Type = Person

The last step for Type = Person has no fields, you just need to close the wizard, cancel it, or you can go back one step.

When the wizard completes successfully, a message is displayed stating that the entities have been created correctly, and you are asked if you want to display the contact card.
